1. Acceptance of Terms

These Terms and Conditions ("Terms") govern your access to and use of the Total Veteran Platform, including the website at totalveteran.com, any associated mobile applications, and all digital tools, content, and services offered therein (collectively, the "Platform").

The Platform is operated by Total Veteran Ltd, a company registered in England and Wales ("Total Veteran", "we", "us", "our").

By registering an account, purchasing a product or service, or continuing to use the Platform, you confirm that you have read, understood, and agree to these Terms in full, together with our Privacy Policy, Cookie Policy, Community Guidelines, Acceptable Use Policy, and AI Guidance and Coaching Disclaimer.

2. Eligibility

The Platform is intended for individuals aged 18 and over. By creating an account, you confirm that you are at least 18 years of age. We reserve the right to terminate accounts where we have reasonable grounds to believe a user is under 18.

You confirm that you are not subject to any legal restriction that would prevent you from entering into a binding agreement with Total Veteran Ltd, and that your use of the Platform does not violate any applicable law or regulation in your jurisdiction.

3. Accounts

Registration

To access most Platform features, you will need to create an account. You agree to provide accurate, current, and complete information during registration and to keep this information updated.

Account security

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You agree to notify us immediately at support@totalveteran.com if you suspect unauthorised access to your account.

We are not liable for any loss or damage arising from your failure to maintain account security.

Account transfers

Accounts are personal to you and may not be transferred, sold, or shared with others. Membership benefits are non-transferable.

4. Our Services

Total Veteran provides a platform for veteran transition education, coaching, personal development, and community. Services may include, but are not limited to:

• Online assessments, habit trackers, and wellbeing scoring tools
• On-demand and live educational programmes and courses
• Individual and group coaching and mentoring
• Community forums and discussion features
• AI-assisted coaching guidance and reflective tools
• Journaling and personal reflection features
• Downloadable resources, guides, and publications
• Live events and workshops (in-person and virtual)
• Mobile application access

We reserve the right to add, modify, or discontinue any feature or service at any time, with reasonable notice where a change would materially affect paid subscribers.

5. Memberships and Subscriptions

Membership tiers

We offer free and paid membership tiers. The specific features available at each tier are described on the Platform at the time of sign-up and may change over time with notice.

Subscription periods

Paid memberships are available on monthly and annual billing cycles. Your subscription will automatically renew at the end of each period unless you cancel before the renewal date.

Renewal notification

We will send you a renewal reminder at least 7 days before your subscription renews. You can manage or cancel your subscription at any time through your account settings or by contacting us.

Free trials

Where we offer a free trial, you will not be charged during the trial period. At the end of the trial, your subscription will automatically begin unless you cancel before the trial ends.

6. Payments and Billing

Payment methods

We accept payment via Stripe and PayPal. By providing payment details, you authorise us to charge the applicable fees to your chosen payment method on the billing cycle you have selected.

Pricing

All prices are displayed on the Platform at the time of purchase. Where UK VAT applies, it will be clearly displayed. We reserve the right to change prices at any time, with notice to existing subscribers before changes affect their billing.

Failed payments

If a payment fails, we will attempt to retry the charge. If payment cannot be collected, we may suspend or downgrade access to paid features until the outstanding amount is resolved.

Refunds

Our refund and cancellation terms are set out in our Refund and Subscription Policy.

Donations

Any donations made through the Platform are voluntary contributions and are non-refundable unless made in error. Donations do not entitle donors to any membership benefits.

7. User Content

Your content

The Platform may allow you to submit, upload, or post content including text, images, video, audio, journal entries, comments, and forum posts ("User Content"). You retain ownership of your User Content.

Licence to us

By submitting User Content, you grant Total Veteran a non-exclusive, worldwide, royalty-free, sublicensable licence to use, store, display, reproduce, and distribute that content as necessary to operate and improve the Platform, and for moderation purposes. This licence does not extend to using your personal journal entries or private reflections in any public-facing context without your explicit consent.

Your responsibility

You are solely responsible for User Content you submit. You confirm that your content does not infringe any third-party rights, is not unlawful, and complies with our Community Guidelines and Acceptable Use Policy.

Content removal

We reserve the right to remove any User Content that violates these Terms or our policies, or that we reasonably consider harmful, offensive, or damaging to the Platform or its users.

8. Intellectual Property

All content created by Total Veteran and made available on the Platform - including text, images, videos, assessments, course materials, tools, software, and the Total Veteran name, logo, and brand assets - is owned by or licensed to Total Veteran Ltd and protected by applicable intellectual property laws.

You may access and use Platform content for your own personal, non-commercial use. You may not reproduce, redistribute, sell, sublicense, publish, or create derivative works from Total Veteran content without our prior written consent.

The "Total Veteran" name, logo, and associated marks are trademarks of Total Veteran Ltd. You may not use these marks without our written permission.

9. Prohibited Conduct

You agree not to:

• Use the Platform for any unlawful purpose or in violation of these Terms
• Impersonate any person or entity, or misrepresent your affiliation with any person or entity
• Upload or share content that is defamatory, hateful, threatening, sexually explicit, or otherwise harmful
• Harass, abuse, bully, intimidate, or discriminate against any other user or Total Veteran staff
• Share misinformation about military service, veteran wellbeing, or matters that could harm other users
• Attempt to gain unauthorised access to any part of the Platform or its underlying systems
• Scrape, crawl, or harvest data from the Platform without our written permission
• Introduce viruses, malware, or any other malicious code
• Use automated tools to access or interact with the Platform without authorisation
• Use Platform features to solicit users for competing services or for commercial purposes without our consent
• Reproduce, resell, or sublicense Platform content without authorisation
• Attempt to circumvent any access controls, account restrictions, or content filters

10. Moderation and Enforcement

We reserve the right to monitor, review, and moderate User Content and user conduct on the Platform. We may, without notice or liability:

• Remove content that violates these Terms or our policies
• Issue warnings to users who breach our guidelines
• Temporarily suspend or permanently terminate accounts for violations
• Restrict access to specific Platform features
• Report illegal conduct to relevant authorities

Moderation decisions are made at our sole discretion. While we aim to be fair and consistent, we cannot guarantee that all harmful content will be identified and removed promptly.

11. Not Medical or Crisis Support

If you are experiencing a mental health crisis, are at risk of harming yourself or others, or require emergency support, please contact emergency services (999 in the UK, 911 in the US) or a qualified mental health professional immediately.

UK crisis resources include Samaritans (116 123) and the Veterans' Gateway (0808 802 1212). US resources include the Veterans Crisis Line (Dial 988, then press 1).

Any coaching, assessment, or guidance provided through the Platform is developmental in nature. Outcomes from coaching, assessment scores, or AI-assisted guidance are not clinical assessments and should not be treated as such.

12. AI-Assisted Features

Some Platform features use artificial intelligence to generate personalised guidance, prompts, and suggestions. You acknowledge and agree that:

• AI-generated content is developmental and educational, not medical or clinical advice
• AI outputs may not always be accurate, appropriate, or complete for your specific circumstances
• You should exercise your own judgment in applying any AI-generated suggestion to your life
• Total Veteran is not liable for any outcomes arising from reliance on AI-generated content

13. Disclaimer of Warranties

The Platform and all content and services provided through it are offered on an "as is" and "as available" basis. To the maximum extent permitted by applicable law, Total Veteran makes no representations or warranties of any kind, express or implied, including but not limited to:

• Warranties of merchantability, fitness for a particular purpose, or non-infringement
• Warranties that the Platform will be uninterrupted, error-free, or free of viruses or other harmful components
• Warranties as to the accuracy, completeness, or currency of any content on the Platform
• Warranties as to the outcomes of any coaching, assessment, or AI-generated guidance

Nothing in these Terms excludes or limits any warranty that cannot be excluded under applicable consumer protection law.

14. Limitation of Liability

To the maximum extent permitted by applicable law, Total Veteran Ltd, its directors, employees, contractors, agents, and licensors shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

• Loss of profits, revenue, or anticipated savings
• Loss of data or business opportunity
• Harm arising from your reliance on AI-generated recommendations, wellness scoring, or coaching outcomes
• Harm arising from community advice, peer interactions, or user-generated content
• Psychological, emotional, or reputational harm arising from use of the Platform
• Any claim arising from third-party services accessed through the Platform

Where we cannot exclude liability, our total aggregate liability to you for any claim arising under or in connection with these Terms shall not exceed the total fees paid by you to Total Veteran Ltd in the twelve months preceding the claim.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any liability that cannot be excluded or limited under applicable law.

15. Indemnity

You agree to indemnify and hold harmless Total Veteran Ltd, its directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from or in connection with your use of the Platform, your User Content, your violation of these Terms, or your infringement of any third-party rights.

16. Account Termination

Termination by you

You may close your account at any time through your account settings or by contacting us at support@totalveteran.com. Account closure does not automatically entitle you to a refund; see our Refund and Subscription Policy.

Termination by us

We may suspend or terminate your account immediately, without prior notice or liability, if we determine that you have violated these Terms, engaged in fraudulent or harmful conduct, or if we are required to do so by law. We will notify you where legally permissible to do so.

Effect of termination

Upon termination, your right to access the Platform ceases. We may retain data as required by law or legitimate business purposes; our data retention practices are described in the Privacy Policy. Provisions of these Terms that by their nature should survive termination will do so, including intellectual property, limitation of liability, indemnity, and governing law.

17. Changes to These Terms

We may update these Terms at any time. Where we make material changes, we will notify you by email and by a prominent notice on the Platform at least 14 days before changes take effect. Your continued use of the Platform after that date constitutes acceptance of the revised Terms.

If you do not accept the revised Terms, you should stop using the Platform and close your account.

18. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where applicable consumer protection law in your country of residence requires otherwise.
